XCar buys and resells vehicles and keeps a storage yard for insurance companies. Requests from insurers arrived by email, and the yard was run from a spreadsheet.
In September 2026 I rebuilt the system from scratch as three applications: a closed website for managers and their buyers, a CRM for staff and a storage yard application.
Emails from insurers are read and turned into requests: claim number, VIN, plate and model are taken from the text and the attachments, and emails about the same vehicle are grouped together. The yard moved off the spreadsheet in one day: 139 vehicles in storage, 41 released and 703 old email threads closed.
Storage is charged by each insurer's tariff, including tariffs that depend on the declared value of the vehicle. Invoices are issued at month-end from a checklist screen. A vehicle is released only when the buyer shows a QR code and the insurer has confirmed the buyer.
What this has to do with e-invoicing
Reading documents that arrive in someone else's format, matching them to the right record and invoicing by rules that differ per counterparty is most of what e-invoicing asks for
